The Callback System ("we," "us," "our") operates thecallbacksystem.com and provides AI-powered phone answering and lead capture services for contractors. This Privacy Policy explains what information we collect, how we use it, who we share it with, and your rights regarding that information.
1. Information We Collect

- Service request details: Description of the service you need, urgency level, and preferred contact method
- Call recordings and transcripts: When you call a business using The Callback System, your call is answered by an AI-powered voice assistant. These calls may be recorded and transcribed for service delivery, quality assurance, and to accurately capture your service request
Information Collected Automatically:
- Usage data (pages visited, time spent, referring URL, browser type)
- Device information (screen size, operating system, IP address)
- Cookies and similar tracking technologies for analytics
2. How We Use Your Information
- Service delivery: To answer inbound calls, capture your service request, and relay lead information to the appropriate contractor
- SMS/text messaging: To send you transactional text messages confirming receipt of your service request, providing callback timing, and delivering service-related updates (see Section 4 below)
- Communication: To respond to your inquiries and provide customer support
- Improvement: To improve our website, AI systems, and services
- Compliance: To comply with legal obligations and enforce our terms
We never sell your personal information to third parties.
3. AI-Powered Call Handling Disclosure
The Callback System uses artificial intelligence to answer phone calls on behalf of contractor businesses. When you call a business that uses our service:
- Your call is answered by an AI voice assistant, not a human receptionist
- The AI collects your name, phone number, address, service needs, and urgency level
- Call audio may be recorded and transcribed for accurate lead capture and quality assurance
- Your information is relayed to the contractor via text message so they can call you back
4. SMS/Text Messaging Policy
The Callback System sends transactional SMS/text messages as part of our service. This section describes how we collect consent, what messages we send, and how you can opt out.
How We Obtain Consent:
- Web form: When you submit the demo request form on thecallbacksystem.com, you provide explicit consent to receive calls and text messages at the number you provide. The consent disclosure is displayed directly above the submit button.
- Phone call: When you call a contractor business using our system, you verbally consent to receive transactional text updates during the call. The AI discloses: "By continuing, you agree to receive transactional text updates related to this service request. Msg&Data rates may apply. Reply STOP to opt out, HELP for help."
What Messages We Send:
- Confirmation that your service request was received
- Estimated callback timing from the contractor
- Service-related updates directly related to your request
Message Frequency & Costs:
- Message frequency varies based on your service request. Typically 1-3 messages per interaction.
- Message and data rates may apply depending on your mobile carrier and plan.
- Consent to receive text messages is not a condition of purchase or service.
How to Opt Out:
- Reply STOP, CANCEL, END, QUIT, or UNSUBSCRIBE to any message to unsubscribe from future texts
- Reply HELP for assistance or contact us at info@thecallbacksystem.com
- Opt-out requests are processed immediately. You will receive a one-time confirmation message.
Supported Carriers:
Major US carriers are supported including AT&T, Verizon, T-Mobile, Sprint, and others. T-Mobile is not liable for delayed or undelivered messages. Carrier fees may apply.
5. Information Sharing & Third-Party Service Providers
We share your information only as necessary to deliver our service:
